Cancellation Policy:
1. Cancellation 30+ days prior to arrival date will result in 25% of total amount invoiced in cancellation fees.
2. Cancellation 29-15 days prior to arrival date will result in 50% of total amount invoiced in cancellation fees.
3. Cancellation 14- 8 days prior to arrival date will result in 75% of total amount invoiced in cancellation fees.
4. Cancellation 7 days or less prior to arrival date will result in 100% of total amount invoiced in cancellation fees
TERMS & CONDITIONS:
The purpose of this policy is to address these challenges and limit the current risk of making advanced bookings by relaxing our refund and cancellation policy, to allow for any travel interruptions as a result of Covid-19.
Our deposit requirements allow for minimum mobilisation fees in order to secure the services of our suppliers. We have insured most of our partners and suppliers have similar policies in place. In the case that a partner or suppliers policies are stricter than ours, their policy will replace our own.
Deposit (minimum mobilisation fee) 50% to secure your reservation and the final 50% due 14 days prior to arrival. (should arrival be within 14 days 100% payment will be required)
This mobilisation fee allows us to secure the services of most third party suppliers and partners in order to ensure that all logistics, activities and accommodations are provided as part of your day to day itinerary. This deposit remains fully refundable in the event of a valid cancelation.
Unless superseded by a third party supplier whose policies might be stricter than our own. Supplier deposit requirements certain suppliers have different deposit requirements, we have experienced anywhere from 10% - 100% depending on last minute or advanced bookings.
Should a supplier require a higher deposit, most of these are fully refundable in the event of a valid cancellation. Unfortunately some insist on non-refundable deposits. In the event that a supplier has either a non-refundable policy or requires more than 50% for a deposit.
We will provide you with the following options.
• Pay the additional deposit amount as per suppliers terms and conditions.
• Leave the reservation on provisional without paying a deposit (this could lead to the loss of reservations, due to deposits paid by someone else or lack of availability at a later stage).
• We will suggest an alternative third party provider with more favourable policy terms and conditions.
Cancellation Terms & Conditions:
In the event of a valid cancellation, we will provide you with the following options considering in some cases our suppliers cancelation policy may supersede our own.
1. Postponement: The common trend among members of the travel trade is to prioritise offering flexible penalty free vouchers redeemable in the future. Subject to availability and third party rate as well as government imposed tax increases. This remains the preferred option for all parties involved to limit losses in the event of temporary cancellations. Some suppliers have indicated that they will only offer postponement vouchers for deposits paid.
2. Travel insurance claim: While travel insurance is not a requirement for travel, it is highly recommended and more important than ever to purchase comprehensive travel insurance prior to departure- in order to minimise any potential loses or cover any possible medical care or mandatory quarantine while travelling abroad. It is important to opt for cancellation cover due to Covid-19 or for any reason. More and more insurance providers are offering 100% cancellation cover due to the coronavirus and other reason. These options should be investigated in detail due to the fact that in the event that postponement is not possible, you will first be requested to claim from your travel insurance provider. If you do not have travel insurance in place, no refunds will be paid out in the event of a cancellation. The additional benefit to you is that the insurer should cover you for all expenses lost with one claim, eliminating the time and effort of requesting refunds yourself with each and every service provider you booked with for the entire duration of your travels.
3. Refund: In the event of a valid cancellation where medical proof has been provided within the stipulated timeframe. Postponement is not possible and your travel insurance provider has refused your claim and provided a written explanation. You will then receive a refund in full, subject to our suppliers policies.
While Bushveld Bookings does not charge any cancellation fees. The policies of our suppliers may be stricter than our own, in this case their policy will replace ours. No refund can be provided unless we have received a refund from our third party suppliers. All refunds can only be actioned into the same credit card or bank account it was received from. Due to the fact that banks do not refund us their 5% transaction fees. Your refund will be less 5% in order to cover the bank charges.
Covid-19 safety protocols:
Bushveld Bookings is fully committed to the fight against the coronavirus. We strictly adhere to all mandated Covid-19 protocols in order to safeguard our guests and limit the spread of the virus, this includes strict adherence to government mandated regulations, as well as World Health Organisation’s guidelines.
Liability and indemnity:
Bushveld Bookings accepts no liability for any claim or losses suffered as a result of international travel.
Included but not limited to death, hospitalisation, infection or illness, crime& resulting trauma, protest action, injury or disability, repatriation, road accidents, avoidable trip cancellation or curtailment, missed flights, acts of god, financial loss or costs incurred, as well as any subsequent mental anguish or distress.
By booking with us, you accept the inherent risks of international travel and agree to indemnify Bushveld Bookings, its directors and shareholders, employees, partners and affiliates, from any claim or liability arising whatever the nature or cause thereof.
Valid cancellations:
The validity of cancellations are considered on a case by case bases. While being declared unfit to travel by a Doctor is considered a valid reason for cancellation. Lost travel documents for example does not qualify.
Policy Validation:
This policy will remain in effect for the duration of the Bushveld Bookings tenure. The policy will remain in place for all bookings made through bushveld bookings.
Agreement:
Upon confirming your reservation with Bushveld Bookings with mobilisation fee and accepting our standard terms & conditions along with our indemnity, you automatically agree to the terms and conditions outlined in this policy.
